First Look Media is looking for a Facilities Manager to join the team! The
ideal candidate will have a minimum of 5 years experience in a similar facilities
position. This person will oversee the management of First Looks offices
in NYC, SF and D.C.
Experience:
Managing multiple facilities across the country and internationally, including
management of sites of up to 40,000 square feet in size with multiple floors
Administration/coordination of:
-
office lease space search efforts
-
office leasing process
-
facilities design
-
facilities fit-out
-
furniture ordering and installation
-
compliance with landlord requirements, building ground rules and applicable
ordinances
-
sustainability and energy-efficiency efforts
Managing maintenance and administrative staff and vendors
Overseeing and administering upkeep of furniture, fixtures and equipment,
including generating and maintaining equipment inventories
Negotiating and administering facilities supplier/provider/vendor agreements
(e.g. janitorial, security, coffee service, office supplies, copier lease,
repairs and maintenance, etc.)
Job Skills & Requirements
Excellent verbal and written communication skills, must communicate effectively
to both staff and management team
Excellent analytical and problem-solving skills
Excellent project management skills, deliver projects on time and on budget
Close attention to detail
Able to manage multiple projects simultaneously with limited resources
Good with ambiguity and change
Familiarity with commercial real estate search process, lease negotiation
process, lease documents

industry best practices and BOMA standards

commercial office construction
-
LEED standards and industry best practices with regard to sustainability
Able to travel 25% of the time
Able to respond to facilities emergencies 24x7x365
Experience with commercial office construction, construction management and/or
architectural design a big plus
Duties
Work under the direction of Facilities Director
Create and maintain current drawings and seating plans for each facility
Coordinate with HR to maintain up-to-date future staff projections for each
facility
Research new equipment and furniture needs as required
Coordinate with IT, Legal and Finance departments on facilities issues as
required
Provide excellent communications with staff regarding facilities work
Develop and maintain disaster recovery plans
Respond rapidly and effectively to facilities emergencies
Develop and maintain schedules and ensure timely delivery of facilities projects
Develop and maintain budgets
Manage vendors and suppliers
Anticipate issues and act proactively to ensure all facilities are:
